GuestList OS™ – Terms & Conditions

Welcome to GuestList OS™, an event workflow automation platform designed to streamline guestlist management, RSVP collection, personalised invitation generation, event pass creation, and QR-based check-ins for event planners, vendors, and their clients. GuestList OS™ operates through modular services, including BulkInvite™, GuestList RSVP™, GuestList Check-In™, GuestList Pass™, GuestList FoilPanel™, GuestList Analytics™, and related features.

By accessing or using GuestList OS™, you agree to be bound by the following Terms & Conditions (“Terms”). If you do not agree with these Terms, please discontinue use of the platform immediately.

These Terms constitute a legally binding agreement between you (“User”) and GuestList OS™ (“the Company”, “we”, “us”, or “our”).

1. DEFINITIONS

For purposes of this Agreement:

  • “Platform” refers to the GuestList OS™ website, modules, APIs, dashboards, guest portals, mobile interfaces, and all related software or services.

  • “User” includes event planners, vendors, designers, printers, agencies, guests, and any individual accessing the platform.

  • “Event Planner” refers to any User coordinating an event or administering guest data.

  • “Guest” refers to individuals invited to an event via GuestList OS™.

  • “Credits/Tokens” refer to digital personalisation units required to generate invitations, passes, foiling sheets, badges, or any other payable output.

  • “Subscription” refers to paid monthly or annual plans granting platform access.

  • “Content” refers to templates, names, guest data, images, designs, branding assets, and any information uploaded by Users.

  • “Output” refers to rendered images, PDFs, personalised cards, QR codes, print sheets, or any exported files generated using the Platform.



2. ABOUT THE SERVICE

GuestList OS™ provides Users with tools for:

  1. Guestlist Creation & Management

    • Collecting names, emails, phone numbers, and RSVP responses

    • Standardising guest data

    • Grouping guests (VIP, VVIP, General, Crew, Vendors, etc.)

  2. Personalised Invitation Generation (BulkInvite™)

    • Automated insertion of guest names into templates

    • Bulk rendering of 1–10,000+ cards per event

    • Export options: PNG, JPG, PDF, SVG, A4/A3 sheets

    • Foil-ready, sticker-ready, print-ready formats

  3. RSVP & Guest Self-Entry (GuestList RSVP™)

    • Unique event links for guests to enter their data

    • Real-time update into the planner dashboard

    • Data cleanup & formatting with AI assistance

  4. QR Code Passes & Event Check-In (GuestList Check-In™)

    • Unique QR codes for each guest

    • Mobile-friendly scanning tools

    • Attendance tracking & analytics

  5. VIP Personalisation & Foiling Export (GuestList FoilPanel™)

    • Foil layout sheets

    • Sticker name sheets

    • Embossing/UV plate exports

  6. Custom Templates & Design Tools (GuestList Studio™)

    • Template uploads

    • Text field mapping

    • Basic visual editing

  7. Analytics (GuestList Analytics™)

    • Attendance summaries

    • RSVP conversion tracking

    • Exportable reports

Use of GuestList OS™ requires a Subscription and/or purchase of Credits.

3. ELIGIBILITY

You must be:

  • At least 18 years of age

  • A duly authorised representative (if using on behalf of an organization)

  • Legally capable of consenting to digital service agreements

We reserve the right to reject access to any User, with or without notice.

4. USER ACCOUNTS

By creating an account, you agree to:

  • Provide accurate information

  • Maintain confidentiality of your password

  • Accept responsibility for all activities under your account

We may suspend or terminate accounts that violate these Terms or pose security concerns.

5. CREDITS, TOKENS & PAYMENT TERMS

5.1 Credits Required for Output

Certain actions—including card personalisation, event pass generation, foil exports, sticker sheets, and guest QR assignments—consume Credits.

Credit consumption is final, regardless of:

  • Output download status

  • User dissatisfaction with their uploaded template

  • Subsequent edits or reruns

  • Internet or device failure

5.2 No Refunds

Credits, Subscriptions, and Event Bundles are non-refundable.

5.3 Right to Revoke Tokens

GuestList OS™ reserves the right to revoke or void any Credits/Tokens issued, including:

  • Promo tokens

  • Beta access tokens

  • Referral rewards

  • Incorrectly allocated credits

  • Fraudulent or duplicate redemptions

Revoked tokens will not be restored unless explicitly approved.

5.4 Pricing Changes

We may adjust pricing, subscription tiers, event bundle rates, or credit costs with notice.

6. PERMITTED USE

You may use the Platform solely for lawful event-related activities, including:

  • Managing guestlists

  • Generating invitations

  • Facilitating check-in

  • Producing event materials

You may not:

  • Reverse engineer the software

  • Circumvent credit consumption mechanisms

  • Use outputs for fraudulent or harmful activities

  • Upload content that violates copyright or privacy laws

Violations may result in account suspension.

7. TEMPLATES, FILES, AND USER CONTENT

7.1 Ownership

You retain ownership of templates, images, branding, and guest data you upload.

7.2 License to Use Content

By uploading Content, you grant the Company a non-exclusive license to process, store, and render outputs solely to provide the Service.

7.3 Restrictions

You may not upload:

  • Copyrighted materials without permission

  • Offensive, defamatory, or unlawful content

8. GUEST DATA & PRIVACY

Some events require collection of personal guest data, including:

  • Names

  • Titles

  • Emails

  • Phone numbers

  • RSVP selections

Event Planners are responsible for ensuring:

  • They have consent to upload guest data

  • GuestList OS is used ethically and legally

  • They comply with local data protection laws

GuestList OS only processes guest data for:

  • RSVP features

  • Invitation personalization

  • QR check-in

  • Analytics

  • Event operations

We do not sell guest data.

9. QR CODES, DIGITAL PASSES & CHECK-IN

QR codes generated by the system:

  • Are unique to each guest

  • May contain event identifiers

  • May expire after use (at the discretion of the Event Planner or Company)

The Company is not responsible for:

  • Failed scans due to poor lighting/device issues

  • Misuse of QR codes by unauthorized individuals

  • Incorrect data provided by the Event Planner or Guests

10. THIRD-PARTY PRINT PARTNERS

GuestList OS may integrate with printing services.

We are not responsible for:

  • Print output quality

  • Delivery times

  • Printer errors

  • Material compatibility (foiling, stickers, card stock limitations)

Users must confirm print readiness before sending files to vendors.

11. PLATFORM AVAILABILITY & LIMITATIONS

We endeavour to maintain 99% uptime, but do not guarantee:

  • Uninterrupted access

  • Error-free operation

  • Loss-free storage of user content

Rendering large batches (1,000–10,000+) depends on server availability.

The Company may:

  • Update the software

  • Suspend service temporarily for maintenance

  • Modify features

  • Discontinue modules (with notice)

12. PROHIBITED CONDUCT

Users must not:

  • Attempt to hack, disrupt, or interfere with the service

  • Share account credentials with non-authorized persons

  • Upload viruses, scripts, or harmful code

  • Use the Platform for political, extremist, or harmful messaging

Violations may lead to immediate account termination.

13. INTELLECTUAL PROPERTY

All platform software, branding, modules, algorithms, and interfaces remain the property of the Company.

Users may not:

  • Copy platform elements

  • Build competing tools using proprietary concepts

  • License or resell platform code

14. LIMITATION OF LIABILITY

GuestList OS™ is provided “AS IS” without warranties of any kind.

We are not liable for:

  • Lost profits

  • Data loss

  • Missed event deadlines

  • Printing inaccuracies

  • Misuse of outputs

  • Incorrect RSVP data

  • System downtime

Our maximum liability shall not exceed the amount paid by the User in the last 90 days.

15. TERMINATION

We may suspend or terminate accounts due to:

  • Abuse

  • Non-payment

  • Fraud

  • Substantial policy violations

Upon termination:

  • Access to the Platform is revoked

  • Remaining Credits/Tokens are forfeited

  • No refunds will be issued

16. GOVERNING LAW

These Terms are governed by the laws of:

  • Nigeria (primary operating jurisdiction)

  • Or the User’s local jurisdiction where applicable

17. MODIFICATIONS TO TERMS

We may update these Terms periodically. Continued use of GuestList OS constitutes acceptance of new Terms.
